Conveyancing Secretary (Bonds) – Cape Town
Job Description
Introduction
A prestigious global law firm is seeking a highly experienced Conveyancing Secretary (Bonds) to join its Cape Town office. This role is suited to a detail-driven professional with extensive experience in mortgage bonds and cancellations, who thrives in a fast-paced, high-performance legal environment.
Key Responsibilities
- Manage mortgage bond registrations and cancellations from instruction through to lodgement and registration
- Prepare and manage standard security documentation utilised by South African banks
- Draft and process consents to cancel bonds, verify guarantee requirements, and issue guarantees where applicable
- Liaise effectively with banks, consultants, clients, and other transacting parties
- Open, manage, and close files on the firm’s file management system, including conflict checks and engagement letters
- Ensure full FICA compliance for all clients and matters
- Maintain accurate diary management, scheduling, and meeting coordination
- Oversee archiving and dead filing processes
- Ensure efficient document collation, production, and distribution in line with firm standards and formatting requirements
- Utilise Lexis Convey, e4, and electronic document management systems to produce accurate documentation within deadlines
- Provide administrative and typing support to the broader conveyancing team as required
- Support office and practice management functions, ensuring effective systems and processes
- Manage financial aspects of matters, including:
- Monitoring and recovery of fees prior to registration
- Billing and resolving account queries
- Reviewing and actioning unbilled disbursements
- Maintain strong client service standards, handling pressure situations with professionalism and diplomacy
Minimum Requirements
- Grade 12 (Matric)
- Recognised Secretarial or Administration Diploma/Certificate
- 8–10 years’ experience as a Conveyancing Secretary specialising in Bonds
- Strong knowledge of bond registration and cancellation processes
- Understanding of banking and security documentation requirements
- Experience with Lexis Convey and e4 systems
- Solid understanding of FICA compliance requirements
Advantageous
- Knowledge of notarial bonds and related processes
